Chief Officer / Community Engagement or designee

Overall Purpose / Objective
The Program Assistant shall provide support for diverse programs or special events within the agencies’ mission.  This could include assistance with copying, filing, assistance with processing reports, deliveries, purchasing supplies, facilitating groups, tabling at events, event set up/take down, bank deposits etc. 

Must have excellent communication skills, inter-personal skills, and be able to follow directions and instructions from multiple managers/directors.  This position requires a person who can work independently with little supervision.  Must have reliable transportation and proof of insurance.

Major Responsibilities
(in order of importance / Estimated Percentage of Time)

  1. Assistance copying, faxing, filing, process mail, research, answer phones etc. - 10%
  2. Delivery & Pick up of business-financial - supplies/correspondence/deposits. - 10%
  3. Assist with the development of program materials /processing reports and evaluations. - 15%
  4. Assist with the planning, implementation, evaluation of agency programs/special events. - 60%
  5. Attend meetings/trainings as assigned - 5%

Qualifications:

  • High School Diploma; some college preferred.
    Bi-lingual in Spanish and English is preferred but not required
  • Excellent interpersonal skill
  • High level of problem-solving capability
  • Excellent communication skills and abilities, both spoken and written.
  • High level of organizational skills and attention to detail
  • Good understanding and ability to work with office equipment: i.e. computers, copiers etc.
  • Able to take direction and work within granted levels of authority
  • Able to work without constant supervision
  • Able to maintain confidentiality of discussions, personal information, sensitive situations, etc. within and outside of work environment.
  • High regard for ethical behavior and appropriate work conduct
  • Good attitude / Positive Team Member
  • Must be flexible to react to environment and program changes
  • Knowledge of Excel, Word, PowerPoint, Publisher is required

Work Environment and Requirements:

  • As much as 40% of staff time may be outside of the main facility.
  • Must have a valid driver’s license.
  • Must have reliable transportation.
  • Must have adequate/required auto insurance.
  • May dress in accordance with duties for the day. and attire must be conservative at all times.
  • Must be timely with all required tasks and duties.
